Studio Booking Terms

These Studio Booking Terms govern requests and confirmed bookings for recording, production, vocal editing, mixing, mastering, consultation and related music services arranged through Local Nomad Music.

Submitting a booking form does not reserve a studio, engineer, producer, date or time. A session becomes confirmed only after the project scope, availability, price, payment requirements and applicable cancellation terms have been expressly accepted.

1. Scope of these Studio Booking Terms

These Studio Booking Terms apply when a person, artist, band, representative, business or other client requests or books music-related services through Local Nomad Music.

They may apply to:

  • recording sessions;
  • vocal and instrument tracking;
  • overdubs and additional recording;
  • song development and arrangement;
  • music production and sound design;
  • vocal tuning, comping and editing;
  • audio repair and restoration;
  • mixing and stem mixing;
  • mastering and delivery preparation;
  • remote production or consultation;
  • project, catalogue or release review;
  • services delivered through an independent partner studio.

These Terms apply to both in-person and remote work unless a particular section clearly applies only to one format.

2. Related agreements and priority

These Studio Booking Terms should be read together with:

A project-specific written agreement or confirmed booking term takes priority where it expressly differs from these general Terms.

Nothing stated on a general Website page changes a later project-specific agreement unless the parties agree to that change in writing.

3. Booking requests

A request submitted through the Website, contact form, email or another communication channel is an enquiry only.

A booking request does not:

  • reserve the requested date or time;
  • guarantee the availability of a particular studio or professional;
  • confirm a price;
  • create an obligation to provide the requested service;
  • guarantee completion by a proposed deadline;
  • create a recording, production or label agreement.

Local Nomad Music may request additional information, files or an initial consultation before determining whether the project can be accepted.

A request may be declined where the scope, timing, location, technical requirements, rights position or available resources are unsuitable.

4. Service categories

The exact service will be defined in the applicable quote, booking confirmation or project agreement.

Service Possible scope Typical client preparation
Recording Vocals, instruments, spoken audio, overdubs or performance capture. Lyrics, rehearsed performance, instrumental, tempo and participant information.
Music production Arrangement, instrumentation, sound design, programming and creative development. Demo, references, song structure and a clear creative objective.
Editing Comping, tuning, timing correction, cleanup and audio repair. Organised recordings and approval of intended editing level.
Mixing Balance, processing, automation, spatial treatment and approved exports. Properly labelled multitracks or stems and reference information.
Mastering Final processing, sequencing, quality control and format preparation. Approved final mix and correct release information.
Consultation Project review, technical planning, workflow assessment or release preparation. Current project version, questions and intended outcome.

A service description does not imply that every task, export, revision, musician, studio, plugin, instrument or third-party expense is included.

5. Client identity and authority

The person making the booking represents that they have authority to act for the artist, band, company or project identified in the request.

The client must provide accurate information concerning:

  • the project owner or principal artist;
  • the person authorised to approve creative decisions;
  • the person responsible for payment;
  • the participants attending the session;
  • the rights holders associated with the material;
  • the person authorised to receive final files.

Local Nomad Music may request confirmation of authority where ownership, payment, access or approval responsibilities are unclear.

Disagreements between band members, managers, producers, collaborators or rights holders do not automatically extend deadlines or cancel payment obligations.

6. Project information and preparation

The client is responsible for supplying information reasonably necessary to plan the service.

Depending on the project, this may include:

  • a current demo or project version;
  • lyrics, chord sheets or arrangement notes;
  • tempo, key and song structure;
  • instrumentals, multitracks, stems or session files;
  • reference tracks and creative direction;
  • the number and roles of participants;
  • instrument, microphone or monitoring requirements;
  • the intended release or delivery format;
  • the expected deadline;
  • known samples, third-party recordings or rights restrictions.

Files should be labelled clearly, open correctly and be provided through an agreed delivery method.

Time spent repairing disorganised, incomplete, corrupt or incorrectly exported files may be treated as chargeable project work.

7. Quotes, estimates and project scope

7.1 Quotes

A quote is based on the information available when it is prepared. It applies only to the project, service, participants, delivery and revision scope described in that quote.

A quote may expire if it is not accepted within its stated validity period or if availability changes before confirmation.

7.2 Estimates

An estimate is not necessarily a fixed maximum price. Actual time and cost may change where:

  • the supplied material differs from the description;
  • additional participants or songs are introduced;
  • the project requires extra repair or editing;
  • new creative work is requested;
  • the client changes the approved direction;
  • additional revisions or exports are required;
  • third-party expenses arise.

7.3 Scope changes

A material change to the scope may require:

  • a revised quote;
  • additional payment;
  • a new schedule;
  • a different studio or professional;
  • a separate project agreement.

8. Booking confirmation

A booking is confirmed only when Local Nomad Music or the applicable service provider expressly confirms the booking and any required payment condition has been satisfied.

The confirmation should identify, where applicable:

  • the client and project;
  • the confirmed service;
  • the studio or remote format;
  • the date, start time and time zone;
  • the expected duration;
  • the participants;
  • the agreed price or charging method;
  • the deposit or advance payment;
  • the cancellation and rescheduling terms;
  • the expected deliverables;
  • the revision allowance;
  • any special technical or access conditions.
Calendar entries are not sufficient by themselves. A provisional date, automated message, form receipt or calendar invitation does not override the commercial and booking conditions that still require confirmation.

9. Deposits, advance payments and balances

A deposit, advance payment or full payment may be required before a session is confirmed or work begins.

The applicable quote or confirmation will identify:

  • the amount due;
  • the payment deadline;
  • the accepted payment method;
  • whether the payment reserves studio time;
  • whether any part is non-refundable;
  • when the remaining balance becomes due.

Failure to make a required payment by the stated deadline may result in:

  • the date remaining unreserved;
  • release of a provisional booking;
  • suspension of project work;
  • delay of file delivery;
  • cancellation under the applicable terms.

Local Nomad Music does not guarantee that the same date or professional will remain available after a missed payment deadline.

Payment disputes, chargebacks or failed transfers may pause services until the issue is resolved.

10. Scheduling, session duration and time zones

The confirmed session period includes all work performed during the reserved time, which may include:

  • room and equipment setup;
  • file transfer and session preparation;
  • soundcheck and monitoring adjustments;
  • recording or production work;
  • breaks requested by participants;
  • session organisation and exports;
  • reasonable closing or handover procedures.

The session does not automatically continue beyond the confirmed period. Extra time is subject to:

  • studio and staff availability;
  • the following booking;
  • an additional charge;
  • any applicable venue limits.

For remote sessions, the confirmation should specify the relevant time zone. The client remains responsible for checking the converted local time.

11. Arrival, access and late attendance

11.1 Arrival time

Clients and participants should arrive or connect at the time stated in the booking confirmation.

Arriving substantially earlier does not guarantee immediate entry where another session, setup or venue restriction is in progress.

11.2 Late arrival

A late arrival normally reduces the usable session time because the booking remains scheduled to end at the confirmed time.

Late attendance does not automatically entitle the client to:

  • a reduced charge;
  • additional studio time;
  • a rescheduled session;
  • a refund;
  • completion of the original planned scope.

11.3 Access requirements

The client must provide any required participant, access, accessibility or special-equipment information before the session so that reasonable arrangements can be considered.

12. Cancellation and rescheduling

Cancellation and rescheduling conditions are stated in the booking confirmation, quote, project agreement or Refund and Cancellation Policy.

12.1 Client cancellation

A client who needs to cancel should provide notice through the official contact route as soon as reasonably possible.

The financial result of a cancellation may depend on:

  • the notice provided;
  • whether studio time was reserved;
  • whether work had already started;
  • whether musicians, engineers or other third parties were booked;
  • non-recoverable costs already incurred;
  • whether the date can reasonably be reassigned;
  • mandatory rights under applicable law.

12.2 Rescheduling

A rescheduling request is not automatically accepted. A new date is subject to availability and may require:

  • a rescheduling fee;
  • payment of additional third-party costs;
  • a revised quote;
  • a new deposit or payment deadline;
  • a different studio or professional.

12.3 Cancellation by Local Nomad Music

If Local Nomad Music or the confirmed provider cannot deliver the session for reasons within its control, reasonable options may include:

  • a replacement date;
  • an alternative studio or professional;
  • a credit for the affected service;
  • a refund of the amount paid for the undelivered portion.

13. No-shows and incomplete sessions

A no-show occurs when the client or essential participants fail to attend or connect without sufficient notice.

Subject to the confirmed cancellation terms, a no-show may result in:

  • loss of the reserved session;
  • loss of a deposit or booking payment;
  • liability for committed third-party expenses;
  • the need to make a new booking;
  • delay of the project schedule.

A session may also remain incomplete where:

  • required files are unavailable;
  • the performers are unprepared;
  • the client changes the scope during the session;
  • participants cannot agree on creative decisions;
  • unsafe or disruptive conduct prevents continuation;
  • technical requirements were not disclosed in advance.

Incompletion caused by the client does not automatically create a right to additional free time or a refund.

14. Independent and partner studios

Some recording sessions may take place through an independent or partner studio selected according to the city, project and technical requirements.

An independent venue or professional may apply additional rules concerning:

  • access and identification;
  • maximum occupancy;
  • working hours and noise limits;
  • food, drinks, smoking and prohibited substances;
  • equipment handling;
  • parking and building access;
  • health and safety;
  • damage and cleaning charges;
  • cancellation and overtime.

The client and participants must comply with reasonable venue rules communicated before or during the session.

Local Nomad Music is not responsible for independent services contracted directly by the client without Local Nomad Music acting as the contracting party.

15. Studio conduct, health and safety

Clients, guests and participants must behave in a safe and professional manner.

Prohibited conduct may include:

  • violence, threats, harassment or discrimination;
  • intentional equipment damage;
  • unsafe use of electrical or recording equipment;
  • smoking or vaping outside permitted areas;
  • possession or use of unlawful substances;
  • attendance while dangerously impaired;
  • bringing unauthorised guests;
  • disabling security or safety systems;
  • recording another person without required permission;
  • conduct that creates a material risk to people, property or the project.

A session may be paused or terminated where conduct creates a safety, legal or operational risk.

Termination for client misconduct may affect refund eligibility and may leave the client responsible for damage or committed costs.

15.1 Minors

A participant who is legally a minor may require a parent, legal guardian or authorised adult to approve and attend the session.

The client must disclose the participation of minors before confirmation so that appropriate arrangements can be considered.

16. Equipment, instruments and personal property

16.1 Studio equipment

Studio equipment may be used only for its intended purpose and in accordance with instructions provided by the studio, engineer or producer.

The client may be responsible for damage caused by:

  • intentional misuse;
  • reckless conduct;
  • unauthorised modification or disconnection;
  • food or liquid spills;
  • conduct of the client’s guests or participants.

16.2 Client equipment

The client should disclose any instruments, computers, drives, interfaces or specialist equipment they intend to bring.

Client equipment should be safe, functional and compatible with the agreed setup.

16.3 Personal property

Participants remain responsible for their instruments, devices, storage media, clothing and other personal property.

Property should not be left at a studio without express permission and an agreed collection arrangement.

17. Session files, backups and storage

17.1 Client files

The client should keep independent backups of all material supplied to the studio.

Local Nomad Music should not be treated as the client’s only long-term archive or backup provider.

17.2 Session data

Session data may include:

  • raw recordings;
  • comped and edited audio;
  • project-session files;
  • multitracks and stems;
  • mix revisions;
  • masters and delivery exports;
  • notes, metadata and reference material.

17.3 Backup limitations

Reasonable care may be taken to protect active project files, but no storage system can be guaranteed against every hardware failure, corruption, deletion, cyber incident or third-party service interruption.

17.4 Retention period

Files may be retained for an operational period after project completion, but permanent storage is not guaranteed unless an archive service is expressly agreed.

The client should download, verify and securely store delivered files promptly.

17.5 Reopening archived projects

Locating, restoring, converting or reopening an old project may require an additional fee and remains subject to file availability and software compatibility.

18. Performance, creative decisions and session results

The quality and amount of material completed during a session depend on factors including:

  • performer preparation and ability;
  • song and arrangement readiness;
  • session duration;
  • technical conditions;
  • participant communication;
  • the number of takes or revisions requested;
  • the speed of client decisions;
  • the quality of source files;
  • the agreed creative direction.

Booking a particular period does not guarantee that a song, vocal, mix, master or other project will be fully completed within that period.

Local Nomad Music does not guarantee that a completed recording will:

  • receive a label offer;
  • be accepted by a distributor;
  • receive playlist placement;
  • achieve a particular number of streams;
  • generate revenue;
  • receive press coverage;
  • meet the subjective preferences of every listener.

The client should identify the person authorised to make final creative approvals and provide consolidated feedback.

19. Deliverables, approvals and revisions

19.1 Deliverables

The agreed deliverables may include specific audio files, formats, sample rates, bit depths, stems, instrumental versions or alternate exports.

Raw files, source sessions, plugin settings, internal templates and unused material are not automatically included unless expressly stated.

19.2 Client review

The client should review delivered files promptly and report:

  • technical defects;
  • missing agreed files;
  • incorrect labels or metadata;
  • requested revisions within the agreed scope.

19.3 Revision rounds

The number and nature of included revisions should be stated in the quote or project confirmation.

Additional charges may apply where feedback:

  • exceeds the included revision rounds;
  • changes an earlier approved direction;
  • introduces new recordings or arrangements;
  • requires restoring an earlier project version;
  • is delivered in separate, conflicting batches;
  • falls outside the original project scope.

19.4 Approval

Written approval of a mix, master, edit or other deliverable may close the included revision stage.

Changes requested after final approval may be treated as additional work.

20. Copyright, ownership, credits and permissions

20.1 Pre-existing material

Each party retains ownership of material it owned before the project unless a written agreement states otherwise.

20.2 Project ownership

Ownership of newly created masters, production elements, arrangements, compositions, artwork or other project material must be determined by the applicable written agreement and relevant law.

Payment for studio time alone does not necessarily determine:

  • master ownership;
  • songwriting ownership;
  • publishing shares;
  • producer points or royalties;
  • performer rights;
  • distribution authority;
  • licensing rights.

20.3 Samples and third-party material

The client must identify samples, beats, instrumentals, remixes, cover songs and other third-party material that may require permission.

Local Nomad Music does not guarantee that third-party material is cleared merely because it was used or recorded during a session.

20.4 Credits

Professional credits should be agreed and supplied accurately before public release.

A credit obligation may survive completion or termination of the project.

20.5 Portfolio use

Local Nomad Music does not automatically receive the right to publish unreleased music or confidential project material. Portfolio, case-study or promotional use should be supported by appropriate permission or contractual authority.

21. Musicians, contractors and third-party costs

A project may require independent:

  • session musicians;
  • engineers or assistant engineers;
  • producers or programmers;
  • studio facilities;
  • equipment rental;
  • travel or accommodation;
  • cloud storage or file delivery;
  • distribution or release services.

Third-party costs are included only where the quote or confirmation expressly says they are included.

Where Local Nomad Music books a third party for the client, the client may remain responsible for:

  • confirmed third-party charges;
  • cancellation fees;
  • overtime;
  • damage caused by participants;
  • expenses approved during the project.

A third party may also have independent rights, credits and contract terms.

22. Remote production, mixing and consultation

Remote services may be delivered through online meetings, shared storage, email, private links or another agreed digital method.

The client is responsible for:

  • a reliable internet connection where live participation is required;
  • compatible devices and software;
  • secure access to shared accounts and links;
  • correct file preparation;
  • joining at the confirmed time;
  • protecting confidential project credentials.

Technical problems caused by the client’s connection, device, account or unsupported software do not automatically entitle the client to free replacement time.

If a material technical problem is caused by Local Nomad Music or the selected provider, the parties may arrange a reasonable continuation or replacement session.

23. Events beyond reasonable control

A session or delivery may be delayed, interrupted or rescheduled because of events outside a party’s reasonable control.

Examples may include:

  • serious illness or emergency;
  • power, internet or building failure;
  • equipment failure that could not reasonably be prevented;
  • fire, flood, extreme weather or natural disaster;
  • transport disruption;
  • government action or legal restriction;
  • civil disturbance or security threat;
  • failure of a critical third-party platform or venue.

The affected party should provide notice as soon as reasonably possible.

Reasonable solutions may include:

  • rescheduling;
  • changing the studio or format;
  • remote continuation;
  • partial delivery;
  • a credit or refund for an undelivered portion where appropriate.

24. Liability and client responsibility

To the maximum extent permitted by applicable law, Local Nomad Music is not responsible for indirect or consequential losses arising from:

  • the client’s failure to attend or prepare;
  • missed release opportunities or anticipated revenue;
  • playlist, distributor or platform decisions;
  • conflicts between collaborators;
  • uncleared samples or unauthorised material supplied by the client;
  • client-side internet, device or software failure;
  • loss of files where the client failed to keep an independent backup;
  • delays caused by incomplete or inaccurate project information.

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded, including liability for fraud, wilful misconduct or another protected category.

Any project-specific limitation of liability stated in a signed agreement will apply to that project where legally enforceable.

25. Suspension or termination of a project

Local Nomad Music may pause or terminate work where:

  • a required payment remains overdue;
  • the client materially changes the project without agreement;
  • unsafe, threatening or abusive conduct occurs;
  • the supplied material appears unlawful or unauthorised;
  • continued work would create a legal, security or reputational risk;
  • the client repeatedly fails to provide required approvals or files;
  • the parties cannot reasonably continue the working relationship.

The client may also terminate future work subject to the confirmed cancellation, payment and third-party cost obligations.

Termination does not automatically remove:

  • payment obligations for completed work;
  • committed third-party costs;
  • confidentiality obligations;
  • ownership and licence provisions;
  • credit obligations;
  • rights concerning legal claims.

26. Questions, complaints and disputes

A client who believes that a booking, charge, file delivery or project service is incorrect should contact Local Nomad Music promptly and provide:

  • the project or booking name;
  • the relevant date;
  • a clear description of the issue;
  • supporting files or correspondence where relevant;
  • the proposed resolution.

The parties should attempt to resolve the issue through direct communication before beginning formal proceedings where reasonable.

The governing law, jurisdiction and general dispute provisions stated in the Terms and Conditions apply unless a project-specific agreement states otherwise or mandatory law requires another result.

27. Changes to these Studio Booking Terms

Local Nomad Music may update these Terms to reflect changes in:

  • studio and booking procedures;
  • available services;
  • partner-studio relationships;
  • file-delivery technology;
  • payment or cancellation processes;
  • applicable law.

Updated Terms will be published on this page with a revised update date.

A later Website update does not automatically alter a booking already confirmed under specific written conditions unless:

  • the parties agree to the change;
  • the confirmed terms permit it;
  • the change is required by applicable law.
